Position Summary: part-time Arena Administrative Assistant
We are seeking a highly organized and detail-oriented individual to support our Arena Ministry. As an administrative assistant, you will play a critical role in ensuring that our ministry runs smoothly and effectively, helping the Arena Director connect the cowboy community with Christ.
Key Responsibilities
- Serve as the liaison between the church and the Arena Ministry by answering and screening all calls, texts, emails, or other incoming communication and escalating when appropriate.
- Perform routine administrative tasks such as scheduling meetings, managing calendars, and coordinating meetings and travel arrangements for the Arena Ministry when needed.
- Support the Arena Director in managing the day-to-day stewardship of the budget, reconciling weekly, and managing the procurement and distribution of Arena Ministry supplies.
- Maintain accurate and up-to-date records and databases, including membership and volunteer information.
- Assist in the day-to-day tasks of the Arena Ministry by providing ongoing support in the planning and coordination of applicable ministry activities, bible studies, meetings, programs, and events, such as barrel races, team roping, etc.
- Assist with the preparation of bible studies and events by submitting event or maintenance requests, confirming rentals, creating rental agreements, ordering supplies, sending reminders, etc.
- Establish and maintain a strong social media presence for the Arena Ministry by assisting with creating content and marketing materials to promote the ministry and upcoming activities.
- Respond to inquiries from vendors/producers and visitors regarding Arena Ministry programs.
- Prepare and distribute reports, spreadsheets, correspondence, and other materials as needed.
Qualifications
- High school diploma or equivalent required
- A minimum of 2 years of administrative support required, with church ministry experience preferred
- Extensive knowledge of office administration, clerical procedures, and recordkeeping required
- Experience managing a budget and reconciling receipts weekly is required
- Knowledge of the cowboy lifestyle and ranch operations and activities is a plus
- Must demonstrate strong organizational skills with the ability to prioritize tasks and manage multiple projects
- Excellent written and verbal communication skills
- Proficient with spreadsheets; experienced using Google Suite
- Positive and professional demeanor
- Ability to lift up to 40 lbs
Work Schedule
- Part-time, up to 29 hours per week, with occasional evenings and weekends as needed. On-site at the church office.
- This role will be expected to attend at least one (1) arena event per quarter.
